Your Corps® Privacy Policy

1. Introduction

Your Corps® is committed to protecting the privacy of all individuals who participate in our programmes, events, and services. This includes children’s events, youth development programmes, employment seminars, training workshops, and other activities we facilitate throughout New Zealand.

2. What Information We Collect

We only collect the personal information necessary to run our programmes safely and effectively. This may include, but is not limited to:

Name and contact details (e.g. phone number, email address)
Age or date of birth
Parent or guardian contact details (for participants under 18)
Medical, dietary, or accessibility information (where relevant)
Emergency contact details
Registration preferences (e.g. programme type, session selection)
Photos or video footage (with notice and/or consent)

3. Why We Collect This Information

We collect personal information to:

Manage registrations and communicate event details
Ensure the safety and wellbeing of all participants
Provide support appropriate to each individual’s needs
Monitor attendance, report outcomes, and evaluate programme delivery

We only collect what is necessary and use it in ways you would reasonably expect.

4. Consent

By registering for any Your Corps® event or programme, you agree to the following:

You consent to participate and allow Your Corps® to collect and use your personal information for purposes such as registration, communication, health and safety, and programme delivery.
Participants under the age of 18 must be registered by a parent or legal guardian. If a participant under 18 registers themselves, they confirm that they have obtained express permission from their parent or legal guardian to do so, and to share any required personal information (e.g. medical details, emergency contacts).
By registering, you also acknowledge and accept that photos or video footage may be taken during the event or programme for promotional or public purposes, including social media and reporting.

If you do not agree to these terms, we respectfully advise not to participate in the event. We appreciate your understanding.

5. Use and Disclosure of Information

We use your personal information only for the purposes for which it was collected. We do not share personal data with third parties unless:

Required by law (e.g. for health and safety compliance or mandatory reporting), or
You have given us express permission to do so.

We may report aggregated or anonymised information for funding, planning, or evaluation purposes — but individuals will never be personally identified in such reporting.

6. Storage and Security

We take care to protect your information. All personal data is:

Stored securely, whether digital or physical
Accessed only by authorised team members
Retained only as long as needed for operational or legal purposes
Deleted or securely destroyed once no longer required
